3. Budget and Funding Proposals

• SIOP Training Request:
  • Ms. Levey requested $226.84 from Site Council funds for SIOP training.
• Current Site Council Fund Balance:
  • $10,295.00 (Before Ms. Levey’s request; subject to change after contract adjustments).

4. Issues to Bring Up with the Administration

• Door Access:
  • Refer to the minutes from two meetings ago.
• Parent Communication Frequency:
  • Request for more frequent communication than once a month. Refer to September minutes.
  • Proposal for a parent newsletter to go out every other week or weekly.
• Recognition for Site Council Participation:
  • Request for Site Council members to receive cords for graduation.
• Increased Presence at Middle School Events:
  • Refer to the September minutes.
• Increased Attendance at Sports Events:
  • Refer to the September minutes.
  • Discussion on whether free entry for students in the free and reduced lunch program could be implemented.
  • Clarification needed on whether the stands are full and the potential for financial transparency in these events.
  • Mr. Zehar will inquire about the allocation of event funds.
• ASB Sticker Pricing:
  • Discussion about making ASB stickers cheaper.
  • Consider pushing more students to purchase ASB stickers.
• Seating Arrangements at Sports Events:
  • Avery will ask Brink about the current seating arrangements.
  • Cliff suggested considering cheerleaders under the hoop for better visibility.
  • Luong will approach the district equity committee for their input.
  • Avery will also inquire with the Government Relations and Safety Committees about potential solutions.
  • Question raised: Is the $5 per student charge necessary?

5. Parent Communication

• Electronic Feed for Parent Communication:
  • Refer to September minutes.
• Checking In with New Staff Members:
  • Frank had a rough month and did not complete much communication last month, but he plans to engage more moving forward.
• Encouraging Parent Attendance at Site Council Meetings:
  • Reference to Laura’s email from September 18th regarding increasing parent attendance.
• Website Updates:
  • Frank has been tasked with updating the website and ensuring minutes are posted.
  • Brad made updates last week.

Meeting Minutes

1. Approval of November Minutes:

   • Frank moved to approve; Avery seconded.
   • Motion Approved.

2. Budget Update (Jeanne):

   • Budget is being finalized based on FTE.
   • Frank recommended Jeanne check in with Barlow’s administration for additional information.
   • Focus remains on approving funding requests aligned with Site Council goals.

3. Funding Requests:

   • Math Department (Michael O'Brien)

     • No prior funding requests this year.
     • Requested 8 hours (approx. $200-$300).
     • Motion Approved: Frank moved; Laura seconded.

   • Science Department (Byran, Tremel, Stoffel)

     • Requested half-day subs to align physical science curriculum.
     • Discussion: Ensuring alignment stays with the school/program rather than individual teachers.
     • Motion Approved.

   • Freshman Success (Karissa Slack)

     • Requested funds to purchase books for teacher book study ($380 total).
     • Discussion: Verify Karissa is aware this request will exhaust all available funds.
     • Suggestion: Explore PDF versions of the book for cost savings.
     • Approval pending follow-up with Karissa.

4. Comment Box Updates:

   • Action Steps:
     • Add pads of paper and golf pencils near the boxes.
     • Explore promotion via GNN.
   • Updates:
     • No current comments; boxes are broken. Frank emailed RJ on 1/13.
     • Frank to supply paper stacks for the wall.
     • Create a QR code for a Google form.
     • Comment box key is located in Frank’s classroom (back corner shelf near TV wall).

5. Parent Communications via ParentSquare (Laura):

   • Issues identified:
     • Students leaving and returning create duplicate accounts, causing missed messages.
     • Unspecified phone number types (e.g., home vs. cell) block messages.
   • Action: Frank to follow up on solutions.

6. StudentVue & Canvas Concerns (Frank):

   • StudentVue app lists homework assignments inconsistently.
   • Canvas mobile app is not user-friendly.
   • Frank to seek clarification on improvements.

7. Chromebook Restrictions (Avery):

   • Students report restricted access to school-related apps.
   • Questions:
     • Can students submit their own Help Desk tickets?
     • Who is the current point of contact for student tech issues?
   • Frank to investigate further.

• Jeanne will inform staff about available funds to encourage utilization.

• No funding requests submitted this month.

3. Comment Boxes

• Frank retrieved the key for the Commons comment box.

• He will:

  • Replace the broken cover.

  • Clean out the water.

  • Make key copies for RJ.

Comment Highlights (Main Entrance box):

• "More seating in common areas":

  • Frank will follow up with Mr. Zehr.

  • One tall table was removed due to damage; explore replacing it and assess space for additional seating.

• "Map of Portland and Gresham with local job listings for teens":

  • Suggestion by Mark Spolitak.

  • Frank will coordinate with career coordinator Nolan to:

    • Possibly utilize the new bulletin board.

    • Consider adding a QR code for job listings.

    • Currently, no postings on the jobs site; Frank will follow up.

Other Comment Box Updates:

• Paper slips and pencils placed at Main Entrance; not yet at Commons box.

• No digital comments since 2023.

  • Frank will ensure QR codes are active and posted near Commons box.

4. Parent Communication (Ongoing from December)

• Frank still needs to inquire about:

  • How phone number type affects communication success.

5. Tech & Platform Accessibility

• Frank to follow up on:

  • Improving user experience in Canvas and StudentVUE.

  • Checking for similar issues in ParentVUE.

  • Apps/websites blocked by the school.

  • Issues with landscape vs. portrait mode on mobile devices cutting off info.
